Give the document an identity

Put project, supplier reference, colour, sample version, date and revision at the top. Link the specification to the actual cutting or approved sample. Keep a previous revision accessible so changes can be understood without mixing old and new requirements.

Keep composition complete

List full fibre names and percentages for the proposed cloth and identify the confirming source. Where a target is still being discussed, label it as a target. A yarn-route name or trade description cannot stand in for a composition declaration.

Specify weight and width precisely

Use mass per area or retain the declared original weight unit. Distinguish total width from usable width and state the measurement basis. Agree tolerances and methods where needed; do not invent them from a website example.

Identify finish, shade and direction

Record the surface reference, colour standard and any cutting-direction requirement. Describe which approved sample controls appearance. A written colour name or general finish label may not carry enough detail for sample-to-bulk review.

Connect requirements to test evidence

For each property, record buyer requirement, method, conditions, reference tested and available report. Leave missing evidence open. A pass on one property does not close other tests or approve the garment’s entire wearing performance.

Confirm the revision before ordering

Have the relevant buyer, supplier and garment team agree the applicable version. Record approved points and unresolved conditions. A change to composition, finish, width, colour or construction should trigger a review of affected sample and test approvals.
