Carry the approved sample, specification and open conditions into bulk production and incoming review.
Define the approval scope
Identify which cloth, shade, finish and specification were reviewed and what the approval covers. Separate appearance approval from test evidence, garment trial and commercial terms. Keep points still awaiting confirmation visible rather than issuing an unqualified approval.
Retain an identified standard
Label and retain the approved sample with date and version. Agree who holds matching standards and how they are stored and referenced. A loose cutting without identity is difficult to connect to a later production lot.
Bind order details to the same version
Confirm quantity, colour allocation, width, quotation basis and delivery arrangements against the applicable specification. Identify planned substitutions or later approvals explicitly. Do not assume an earlier development request is the final production instruction.
Agree the bulk review method
Decide which roll, shade, surface and dimensional checks are relevant and what evidence is required. Specify sampling and acceptance criteria with the appropriate teams. Educational checklists cannot provide a universal incoming-inspection threshold.
Review a discrepancy before proceeding
If incoming cloth differs from the approved record, identify the lot and affected point and retain photographs or measurements. Pause the affected approval while the team investigates. Record the agreed remedy and any revised sample or document.
Keep changes traceable
Note the decision, date and responsible reviewer for each change. A revised colour or finish may require fresh garment or care review. Close the programme with the final approved version and the unresolved points, if any, clearly separated.
