Name the stage

A display sample, development sample, approval standard and bulk cutting have different roles. Record what each represents. A display photograph should not silently become the retained approval standard for an order.

Keep identity with the cutting

Label supplier reference, sample version, date and lot where known. Retain the length or format and source. If a sample cannot be identified, ask for clarification before connecting it to test or approval documents.

Use one specification revision

Composition, weight, width, colour and finish need a shared current record. Note changes explicitly. A test or garment observation on an earlier version should be reviewed for applicability to the new proposal.

Tie evidence to the tested material

Keep report sample identity and test conditions with the reference. Separate tested facts from desired targets. A report for one candidate or lot is not automatic evidence for another.

Record partial approvals

State which appearance, making, wear or technical points are accepted and which remain open. Keep the reviewer and date. A sample preference does not imply approval of every production property.

Review incoming material

Use the agreed retained standard, specification and review method for the actual shipment. Identify a discrepancy by lot and affected point. Record the investigation and revised approval before applying the change to later material.

A practical development example

A production cutting is compared with a development sample. Confirm whether that development sample was the retained approval standard and whether the finish or composition changed. Compare against the current documented version and record the discrepancy by lot and field before extending an earlier approval.
