Keep one revision identity
Record project, supplier, reference, colour, sample version, date and document revision. Identify who will confirm the specification. Keep the approved physical standard connected to this version.
List composition and yarn route
Write full fibre names and percentages in the appropriate field, then yarn route separately. Keep a buyer target distinct from the supplier-confirmed value. An unknown fact should remain open.
Use explicit numerical units
Record weight in the original unit and distinguish total width from usable width. State agreed tolerances and measurement methods only where confirmed. The template does not fill standard values for a hypothetical product.
Describe colour and surface
Identify the physical shade and finish reference, direction and any repeat or alignment task. Put document or photograph references beside the field. Screen appearance alone does not approve the actual colour.
Add performance and evidence fields
Keep required property, method, conditions, acceptance criterion and applicable report source together. Mark whether it is a buyer requirement, supplier confirmation or unresolved test. A missing report is not a passing value.
Use a deliberately incomplete example
Example only: target weight “to discuss”; confirmed weight blank; source blank; next question “Please identify the proposed cloth and its weight unit.” Keeping unknown fields visible is preferable to inventing an exact specification.
